I tried to time mine when the kids were on fall breaks.

As said below, you kind are stuck with weekdays for the best tour/experience. If you can't time during breaks (spring, fall, summer), it's worth taking out of school.

That being said, I think your approach would be good to narrow down the choices. Go yourself to narrow down top options and then schedule a couple of formal visits.
